Organize Your Own Workshop

 

It’s an easy process. Here’s what you need to do:

Phase One 

Simply email a short proposal to Nana Naisbitt, which should include:

  • A paragraph stating the purpose of your workshop
  • Proposed dates of the workshop (typically Monday through Friday)
  • The names and emails of the organizers
  • The title of the workshop
  • Names of colleagues you are considering inviting
  • The number of people you expect to attend

Your proposal will be reviewed by TSRC President Kenneth Jordan and President-Elect Greg Voth. Nana will notify you of the acceptance status of the proposal or perhaps ask for more information. Once the proposal is accepted, Nana and her staff will do everything possible to make the planning easy for you.

Phase Two

Your job then is to:

  • Invite participants
  • Set your own program schedule for the workshop, with some minor scheduling constraints you will be made aware of by Nana; ask her for sample schedules
  • Discuss with Nana which venue will be best suited to your meeting and any special requirements you might have
  • Keep in touch with your invitees about registering in a timely manner, sending them your workshop schedule, etc. TSRC will send regular emails to the organizers to forward on to your invitees, so it's easy
  • Monitor who has registered by going to the Current Workshop page and clicking on the name of your own workshop
  • It is possible, but unlikely, that someone not invited will have registered; contact Nana if this occurs
  • Ask Nana to help you organize any other events, such as a welcome reception, a group hike, group jeep tour, a rock climbing activity, etc. See our Activities page for suggestions of activities you may consider

Useful Information

  • The average TSRC workshop has 25 participants, although they can be as small as 15 or as large as 35
  • Meetings larger than 35 are "conferences" rather than "workshops"
  • All participants are speakers
  • Unstructured time is a hallmark of TSRC workshops, allowing time for deep conversation in the mountains
  • Talks are typically scheduled for 45-60 minutes with Q & A punctuating each talk

 What is included in the standard workshop fee?

  • Meeting space
  • Staff support Monday-Thursday from 6:30 am til 9:00 pm, Friday 6:30 am til 1:00 pm
  • Hearty breakfast each morning, including hard boiled eggs, fruit, ham, cheese, yogurt, pastries, baguettes, bagels and more, Monday - Friday
  • Afternoon cookies and/or other snacks
  • Coffee, teas, and sodas all day
  • Picnic on Thursday night, including beer and wine (family members welcomed)
  • Technical equipment (LCD's, overheads, etc)
  • Tech support
  • Wireless internet at the meeting site
  • A few desktop computers
  • Copy machine & copies
  • Office supplies

What can be provided, if organizers would like -- costs vary:

  • Dinners
  • Lunches
  • Receptions

Not included:

  • Lodging costs
